Describe any process in messy notes and get a standard operating procedure someone new could follow without asking you anything.
Turn my messy process description into an SOP that a brand-new person could execute WITHOUT asking me questions. Process: {NAME}. Done by: {ROLE}. How often: {FREQUENCY}. Tools involved: {LIST}.
Build:
1. HEADER: purpose in one sentence (why this matters — people skip steps they don't understand), owner, last-updated date, time required.
2. BEFORE YOU START: prerequisites, access needed, and the state things should be in. (Missing
prerequisites cause 80% of SOP failures.)
3. THE STEPS: numbered, one action per step, each starting with a verb. For every step: the exact location/button/command, what SUCCESS looks like ("you should now see..."), and — where things go wrong — an "IF instead you see X → do Y" branch.
4. QUALITY CHECK: the 3-point checklist that confirms the job is done right.
5. WHEN TO ESCALATE: the specific situations where they should STOP and ask a human, and who.
6. FAQ: the 3 questions a newcomer will ask anyway — answered.
Then interrogate me: list every ambiguity in my description where you had to guess, so I can
correct them.
